Individual check-in on site: a practical implementation guide

From 1 April 2027, on the sites concerned, every person registers their own arrival and departure. This guide helps you prepare the roll-out in practice. The approaches below are possible options, not a description of one specific product.

1. Personal identification

Every person needs their own personal way to register. Shared accounts or one device on which the foreman registers everyone do not fit individual registration.

  • List per site who works there: employees, temporary workers, trainees, self-employed workers and subcontractors' staff.
  • Make sure everyone has the details they need to identify themselves with the chosen method.

According to the NSSO, the person doing the work registers themselves, in real time; the employer cannot register in advance. Source: NSSO, notice of 30 July 2026.

2. Registering on site in practice

IN happens when work starts, OUT at the end of the activity. Two registrations per person means two chances of a forgotten or wrong registration.

  • Agree a fixed moment and place to check in and out.
  • Remind people to check out at the end of the day, for example when the site closes.
  • Take site conditions into account: outdoor work, gloves, language.

3. Access for workers

Possible options are the free NSSO online service, a commercial smartphone app or another permitted registration method. Check which methods the NSSO permits for your situation before you choose.

4. Subcontractors

  • Inform subcontractors in time about individual registration on your sites.
  • Agree who informs their people and how they register.
  • Agree how you spot and follow up missing registrations from subcontractors.

5. Workers without their own smartphone

Not everyone has a suitable smartphone or wants to use it. Provide an alternative, for example another method the NSSO permits. Check that the alternative still allows a personal registration at that moment.

6. Checking registrations

  • Check not only that a registration was sent, but also that the NSSO processed it correctly.
  • Check daily that every IN has a matching OUT.
  • Appoint one person to follow up registrations.

In a short session we walk through the three steps of the process: checking in and out with one tap in the app, the declaration within the deadline and the follow-up until the response. We then show the portal for managers: planning, registrations per team, reports and audit trail. For cleaning, construction or both — you choose where we put the emphasis.
